Project Challenges:

 
  • To review Medicare
    Pos
    t-op Cataract Eyewear filings, stop claim rejections and obtain proper reimbursements.
     
  • To bring frame inventory under control, set-up an accurate program for tracking frame sales verses frame stock and make sure frame inventory
    meets patient needs. 
     
  • To provide management and operational training and guidance for the new optical manager.
     
  • To delineate the duties of optical staff members and recommend changes to internal and external policy and procedures.
     
  • To establish protocols for internal & external discounting and vendor relations.
     
  • To recommend benchmarks and a financial goal plan for the optical.
     
  • To establish incentive and bonus programs for the optical and set performance review standards.
     

Strategy and Action Plan:

  • Implemented Optical Tracking Production Software to obtain clear data on individual optical sales, capture rate and doctor production in relation to the optical.  A three month analysis reveals conclusive data to make adjustments.
     
  • Worked with the practice’s software vendor, stopped claim rejections, received payment on previously rejected claims and trained the optical manager on how to correctly fill out and file claims.
     
  • Conducted three levels of inventory data gathering to determine what product adjustments needed to be made to provide the right products for patient satisfaction.
     
  • Adjusted frame and lens pricing structures to meet profit margins and compete effectively within the market place. 
     
  • Established protocols, policy and procedures for the optical
     
  • Provided optical financial goal plan and projections
     
  • Established bonus, incentive and performance review standards for the optical staff.
