Surgeons new dispensary.
Furnishing and design by
Fashion Optical Displays.
|
-
Patient capture rate very low.
Optical was located away from the
practice.
No mechanism for patient
handoff from the practice
to
optical.
-
Optical lacked proper management.
Sales were poor in comparison to the
number of Rx’s written.
-
Frame inventory did not meet patient
needs; pricing structures did not
provide proper profit margins.
-
No written job descriptions,
inadequate protocols and procedures
for the opticians
-
Opticians were untrained in Medicare
Cataract Eyewear

-
New optical staff needed training in sales, patient communications
techniques and lens technology
-
Practice and optical were to be
moved to new larger facilities,
adjacent to hospital, which had just
undergone state-of-the-art makeover
with a 70,000 sq. ft. expansion.
Strategy and Action Plan:
-
Implemented
Optical Tracking
Production Software to obtain
clear data on individual optical
sales, capture rate and doctor
production in relation to the
optical. Analysis revealed
conclusive data and adjustments were
made.
-
Set-up policies, procedures and
protocols for the optical, before
the move to the new location.
Provided job descriptions.
-
Instituted lifestyle dispensing,
technician incentives and doctor
involvement in patient flow to
greatly increase capture rate.
-
Trained optical staff and worked
with billing staff to correct
Medicare filing procedures.
-
Conducted job search, interviewing
and hiring of new optical manager.

buying procedures, and inventory
management for the new dispensary.
Set-up proper retail price
structures for frames and lenses.
-
Designed marketing and advertising
for the practice and dispensary.
-
Assisted in the transition to the
new optical.
-
Defined the market positioning of
the optical and practice to provide
increase levels of service resulting
in the finest medical and optical
technology being brought to a rural
community.
-
Coordinated a Grand Opening Event
for the new practice/optical
location (see details provided under
Consulting Services)
-
Showcased the practice and
dispensary in a feature article in
Ophthalmology Times, Oct. 2007.
-
Sales in the new optical have more
than doubled.
Kenneth Ellis, MD
“Having Ophthalmology Resources assist us in the total
transition of the optical was extremely
beneficial. Pam Fritz has the
specialized expertise to ensure that our
logistical, operational and financial
dispensary functions, frame inventory
and lab set-up and negotiations were all
in place before we opened the new
dispensary."
"Hiring Pam Fritz was the right
decision. It’s hectic enough to keep
patient flow going while shifting your
practice to a new location and
opening a new optical. “ |
